This part of the data protection declaration is intended to inform you as a participant according to Art 13 GDPR of the “IQOQI Summer School 2024” event about the purposes, legal basis and about your rights with regard to the processing of personal data by ÖAW.

Purpose and legal basis of the data processing:

1. For the organization and administration of thesummer school, we process the following personal data, which you yourself disclose as part of your registration for the summer school:

a. Contact data (first and last name, telephone number, e-mail address (official and/or private), billing address, organization).
b. Position
c. General communication content data

We process your data for the purpose of administering your registration (Art 6 (1) b and c GDPR).

The processing of this mandatory information is necessary for the organization of the event. If you do not provide us with the data, participation in the event is unfortunately not possible.

2. Public Relations and documentation of the summer school:

Photos and/or recordings are taken at the summer school, which may be used for public relations and documentation of the event.

ÖAW is legally appointed “to promote science in every way” [cf. § 2 of the Federal Act on the Austrian Academy of Sciences (OeAW Act – ÖAWG)]. In order to meet this requirement, ÖAW has to organize events in fulfilment of their public duties and to inform the public about them. Thus, the legal basis for the public relations work and the documentation of the summer school, in particular by taking photos or recordings, is Art 6 (1) f GDPR or Art 6 (1) e GDPR in conjunction with § 2 ÖAWG.

Recipients:

There will be no disclosure of your registration data to third parties.

Any recordings/event photos on which you can be identified may be published as part of the documentation and public relations on central media channels (e.g. Website of ÖAW, social media).

Storage period:

Your personal data will be stored on the basis of contract fulfilment for as long as it is necessary for the administration of your summer school registration. In addition, we store your data to comply with legal obligations, if legal retention periods exist for this purpose or statutes of limitations regarding potential legal claims are open.

In case of legitimate and public interest we process the data as long as this is necessary to protect the legitimate or public interests or until a (justified) objection is raised.

Your rights:

In connection with the processing of your personal data, you have the following rights at any time, which can be exercised:

- Right of access (Art 15 GDPR),
- Right to rectification (Art 16 GDPR) or erasure (Art 17 GDPR) or to restriction of processing (Art 18 GDPR),
